Choosing a CRM: the one tool that is truly yours

The CRM holds your book. Every renewal date, every consent, every conversation. It is the one tool that should move with you, so choose it for the next five years, not the next demo.

A broker's book is not the list of names; it is the dates, the notes and the consents attached to them. That is what a CRM holds, and it is why the choice matters more than the choice of submission platform or website. A CRM that does the right six things, stores data in Canada and lets you leave with your records is a good CRM. Everything else is a demo.

The short answer

A good CRM for a Canadian mortgage broker records renewal dates and CASL consent automatically, stores data in Canada, sends email and text from your own address, and exports everything if you leave. Test those on a demo and watch for cost traps. Owning the subscription keeps your CRM data yours.

The six things it must do

Renewal and maturity dates, automatically

Every funded file gets a maturity date, a term and a lender, and the CRM reminds you at 180, 120 and 90 days without you building it. If this is manual, the renewals leak.

A pipeline you can see

Lead, application, submitted, approved, conditions, funded. One screen, drag and drop, with the dollar value visible so you know what is coming.

CASL consent, recorded

Who consented, how, when, with the unsubscribe handled on every message. Read the email marketing guide.

Email and text from inside the record

Sent from your address and number, logged to the contact, with templates for the renewal sequence and the annual review.

Documents and e signature

Either built in or connected, so a client's file lives in one place.

An export

Your data, in a standard format, whenever you want it. If a vendor cannot show you the export on the demo, walk.

The Canadian questions

Where is the data stored?

Client financial data should sit in Canada under PIPEDA and provincial privacy law. Ask for the region of the servers, not a general assurance.

Does it know Canadian mortgages?

Terms, amortisation, renewal, insured versus conventional, provincial disclosure. A generic sales CRM will make you build all of it.

Does it connect to the submission platform?

Nice to have, not essential. Most brokers rekey a handful of fields; what matters is that funded files land in the CRM with the maturity date.

What does it cost at scale?

Per seat pricing is fine at one seat and painful at four. Ask for the price with an assistant and a processor added.

Carrying it all yourself?

A dedicated compliance team reviews files centrally and the Deal Desk places the hard ones, so your hours go to clients.

The cost traps

A CRM bundled into a mandatory brokerage technology fee you would not choose. A vendor that owns your data and charges to export it. A platform priced per contact, which punishes a good database. A tool so complex nobody on the team uses it, which is the most expensive CRM of all.

What brokers here use

BrokerDam, a CRM built for Canadian mortgage brokers with data stored in Canada, is available to A.I.M.I. Collective brokers at a member rate. It is a paid product, not a bundled one, because a CRM should be a choice. Brokers who arrive with a CRM they like keep it. What matters to us is that renewal dates and consent are recorded somewhere you own. Read the full tech stack and the technology page.

Our approach

The broker portal is included at no cost: documents, Deal Desk submissions, training, events and invoices in one place, with automated client communication and digital document collection. BrokerDam, a CRM built for Canadian brokers, is a separate paid product available to our brokers at a member rate. It is a choice, not a bundle, and any compliant CRM is welcome here.

Common questions

What is the best CRM for mortgage brokers in Canada?
The one that records renewal dates and consent automatically, stores data in Canada, sends from your own address, and lets you export everything. Several tools qualify; test the six things above on a demo.
Does A.I.M.I. Collective include a CRM?
No. The broker portal is included at no cost; BrokerDam is available at a member rate and any compliant CRM is welcome.
Can I move my CRM data to a new brokerage?
Your CRM data is yours if you own the subscription. Client files in the brokerage's systems follow provincial rules and your brokerage agreement, so read both before you rely on either.
